01Introduction
PharmaSaathi ("we", "us", "our") provides a pharmacy management app, web dashboard, and admin services for retail chemists in India ("Service"). This Privacy Policy explains what information we collect when you use the Service, why we collect it, how it's used and protected, and the choices you have.
This policy is designed to align with the Information Technology Act, 2000 and its rules, and with India's Digital Personal Data Protection Act, 2023 ("DPDP Act"). By using the Service, you consent to the collection and use of information as described here.
02Information we collect
We collect information you provide directly, information generated as you use the app, and limited technical information from your device.

03How we use it
We use the information above to:
- Provide core features — billing, inventory, expiry tracking, reports, and sync across your devices
- Send alerts and reminders via push notification, SMS, WhatsApp, or email (for example, expiry warnings or payment reminders)
- Process payments and manage your subscription
- Verify your identity (via OTP) and keep your account secure
- Respond to support requests and review compliance documents (such as drug licence uploads)
- Improve the Service — for example, understanding which features are used most, or improving barcode and medicine-name matching using aggregated, de-identified data
We do not sell your data, and we do not use your sales or customer data to advertise to you or your customers.
04Invoice photos & AI scanning
When you use the invoice photo feature, the image is uploaded securely and sent to an AI vision service to extract medicine names, quantities, batch numbers, and prices. The extracted information is returned to your app for you to review and confirm — it is never saved to your inventory automatically.
- Invoice images are stored so you can re-process or refer back to them, and to help us improve accuracy over time
- The number of scans available to you depends on your subscription plan
- You can delete stored invoice images from within the app's settings
05Where data is stored
Your data is stored on secure cloud infrastructure, including a managed database for structured records (inventory, sales, store details) and object storage for documents and images such as invoices and KYC uploads. Data in transit between your device and our servers is encrypted.
While the app works offline using a local database on your device, that local copy is encrypted at the operating-system level provided by your device, and is cleared if you uninstall the app.
07Data retention
We retain your data for as long as your account is active, so your shop's history, reports, and stock records remain available to you. If you close your account, we retain your data for a limited period in case you wish to reactivate, after which it is deleted or anonymised, except where we're required to retain certain records (such as payment records) for longer to meet legal or accounting obligations.
08Your rights & choices
You can, at any time:
- Access and update your store and account details from within the app
- Export your inventory, sales and reports as CSV files
- Turn off specific notification types (e.g. low-stock alerts) from notification settings
- Request deletion of your account and associated personal data, subject to records we're legally required to keep
- Withdraw consent for optional features (such as invoice OCR) — core billing and inventory features will continue to work
To exercise any of these rights, contact us using the details in section 13. We'll respond within a reasonable time and in line with applicable law.
09Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS) between the app and our servers, access controls limiting which staff can view store data, and separate authentication for our internal admin systems. No system is completely secure, but we work to identify and address risks promptly, and will notify affected users if a breach is likely to result in a risk to their rights.
10Children's privacy
PharmaSaathi is intended for use by adults operating a registered pharmacy or medical store. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.
12Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. If we make material changes, we'll notify you through the app, SMS, or email before they take effect. The "Last updated" date at the top of this page shows when it was last revised.
